Position: ADMIN/OPERATIONS ASSISTANT – COMMERCIAL DEPARTMENT

Requirements: Oil trading house seeks a JUNIOR ADMINISTRATOR, second jobber, with sound Excel, Word skills, fast typing. 

Responsibilities will include:
· Typing of contracts, various faxes, emails, telexes, letters 
· Looking after incoming& outgoing mail (faxes, telexes, post)
· Drafting and sending out nominations for commodity inspection
· Drafting and checking loading and discharging instructions
· Drafting and checking documentary instructions 
· Monitoring vessels' positions on a minimum daily basis
· Checking shipping documents and distribution
· Checking and raising various invoices, credit notes and debit notes
· Posting all invoices raised onto account system, 
· Preparing orders for payment and letters of indemnity
· Filing of all documentation in respect of company's sales or purchases
· Checking and drafting of letters of credit
· Maintaining spreadsheets in excel, word, bulldog (daily, weekly, monthly and periodically)
· Maintaining reports in excel, word, bulldog (daily, weekly, monthly and periodically)
· Providing general administrative support and assistance to head of operations, trader and managing director
· Other tasks as might be necessary due to the amount of work in the office or to cover for somebody else
· Working under instructions / supervision
· Answering telephone taking accurate messages and transferring to relevant persons

Ideal candidate will have/be:
· A levels
· Fluent English, good spelling
· Ability to learn and work fast under pressure
