Position: SHIPPING AND DOCUMENTATION MANAGER

This role reports to the Operations Manager based in London, and its overall purpose is to help our Sales Teams achieve their ambitious growth targets across Europe, Africa, the Middle East and Asia. 

Specific responsibilities include:
· Managing and coaching a team of four experienced Shipping and Documentation Controllers
· Negotiating shipping and freight rates for break bulk and containers, and administering the production of all supporting documentation, including the preparation, presentation and negotiation of letters of credit as required
· Ensuring that materials are prepared and available in accordance with acknowledged delivery schedules and contract terms
· Establishing and maintaining regular contact with hauliers and freight forwarders to ensure a high standard of service and maximise opportunities to achieve competitive rates
· Coordinating and project managing framework and long-term contracts, including the arrangement of inspections, consolidation, shipment schedules and regular updates to the commercial sales teams, involving complex logistics project management
· Assisting the commercial sales teams with any claims as required and giving proactive advice on logistical problem areas that may affect the execution of the delivery or impede payment.  This may necessitate going to inspect the material, wherever required in any part of the world.

Ideal candidate will have/be:
· Significant experience in an international commercial export office, with involvement in the day-to-day dealings of documentary credits (import and export), commercial documentation, order processing
· Experience of break bulk shipping is essential; chartering experience would be an advantage
· Proven ability to lead, develop and motivate a team of professionals
· Strong negotiating / influencing skills, and ability to assess and manage risk
· Excellent verbal and written communication skills in English. Fluency in a second language would be an advantage.
· Cultural awareness and sensitivity to deal effectively with customers and suppliers at a global level

Responsibilities:
Imports (Purchases)
· Issuing LC’s (Documentary, SBLC, Red Clause, Green Clause and Bank Guarantees)
· Amending purchase LC’s (Documentary, SBLC, Red Clause, Green Clause and Bank Guarantees)
· Payments under LC’s
· Reviewing LC’s applications (Documentary, SBLC & Guarantees) given by traffic against contracts and approving the same for issuance by the banks
· Allocating LC’s (Documentary, SBLC, Red Clause, Green Clause and Bank Guarantees) issuance to financing banks
· Monitoring of bank facilities and applicable limits and respective positions with banks
· Approving of LC’s issuance/amendments/miscellaneous charges for internal purposes
· Reporting: a) Upcoming LC’s to be issued (2 weeks ahead); b) Weekly / monthly and year end utilization of bank lines
· Presenting transactions to bank for requesting financing
· Following up to ensure the bank’s collateral dept has all information required in order to finance our business. i.e. copy of contracts, tank warrant if applicable, B/L to bank‘s order if applicable, copies of export (sales) LC’s
· Requesting banks to finance long positions against margin call requirements. Requesting treasury to pay margin calls and ensuring that financing bank is getting the funds

· Resolve queries which customers may have with regards to the text of LC’s issued by company
· Updating tempest with financing bank allocated for issuance of LC’s (Documentary, SBLC, Red Clause, Green Clause and Bank Guarantees)
Exports: (Sales) 
· Monitoring of LC’s upcoming report
· Monitoring chasing traffic/agents/offices/customers for LC’s prior to loading
· Nominating LC’s advising/confirming bank and approving LC’s issuing bank
· Ascertaining which LC’s should be confirmed and negotiating best pricing with potential confirming banks
· Liaising with banks on clarifications on LC’s & amendments with regards to what should be queried and what should not be queried on company’s LC’s
· Liaising with banks on queries and problem files and assisting them in finding mutually acceptable solutions and best way forward for both company and the bank concerned
· Supervising/reviewing LC’s received against contracts and approving suggested amendments put forward by traffic. Re-wording of amendment requests given by traffic if applicable
· Monitoring of amendments requested and ensuring cargo is not being loaded without a fully workable LC’s in place. Ensuring that LC’s is confirmed and payment to company would be without re-course
· Approving of draft documents for traffic in case of difficult files or Chinese LC’s in a downward trend market
· Checking and approving of LC’s presentations including covering schedule prior to being sent to confirming/advising bank ensuring that the correct financing bank is to receive the funds
· Supervising/chasing banks up on checking documents timely and contesting invalid discrepancies
· Supervising/chasing banks for payment under presentations and liaising with treasury on positioning of funds
· Liaising with treasury on estimated LC’s presentations for cash flow forecast
· Approving requests for extended credit under LC’s related transactions and calculating financing cost to advise concerned trader
· Approving of discount without recourse costs deducted by confirming bank together with bank & country risk and miscellaneous costs relating to the presentation. Passing approval to treasury / accounting for booking purposes
· Immediate handling of any rejection of LC’s presentations received by confirming bank and bringing the same to trade finance director’s and trader’s attention
· Ensuring that all records are being updated by treasury and position list reflecting payments received under LC’s
· Checking of documentary collections and monitoring of acceptances and payments from banks
· Reviewing and approving of bank guarantees
· Checking & approving of LOIs for release of cargo
· Assisting company with their export LC’s business with regards to bank allocation, approving of Issuing bank, selling of bank risk, review of LC’s, review of amendments, checking of documents and monitoring of payments

Ideal candidates:
· Ability to work unsupervised, able to open, amend and present LC's to the banks 
· Minimum 5 years experience working with LC's 
· Background in banking and or trading house essential
